Is my customer data safe with an AI receptionist?

A fair question, and one most vendors answer vaguely. Here is what is actually captured and what to ask.

An AI receptionist handles the same customer data your front desk always has — names, contact details, addresses and job details. What is captured on a call

The record above is exactly what a call produces: an audio recording, a saved transcript, the caller details given during the conversation, a summary with a quality rating, and the stage the lead has reached. None of that is hidden from you — it is the working record you use to follow up.

Personally identifiable data

Some personally identifiable data is unavoidable: you cannot book a job without a name, a number and an address. The question is never whether it is collected but how it is stored, who can reach it, and how long it stays. Three questions worth asking any provider

  • Where are recordings and transcripts stored, and for how long?
  • Who inside the vendor can listen to or read them?
  • Is any of it used to train models shared with other customers?

Are calls recorded?

Yes. Each call produces an audio recording and a saved transcript, which is what makes the summaries, lead records and follow-up possible. They are visible to you in your dashboard rather than held somewhere you cannot see.

Is personally identifiable data stored?

Necessarily, yes: names, phone numbers and service addresses are what a booking is made of. How that data is retained, secured and handled is set out in Crown's privacy policy, which has named sections on data retention, data security and AI disclosure.

Who owns the call data?

You do. Your website, phone number, content, call records and reviews are yours and go with you if you cancel. Crown's AI platform is ours and stays with us, which is why the monthly fee stops when you do.

What should I ask other providers?

Where recordings and transcripts are stored, how long they are kept, who at the vendor can access them, and whether your data trains models shared with other customers. A vendor who is slow to answer those is worth a second look.
